Quick Start, First Time Here?
A few simple steps before you begin daily work.
Log in
Click Log in to App at the top right, or open your school login page. Use the username and password shared by your admin.
Check the active session
Look at the top bar in the app. It shows the current academic session (for example 2025-26). Fees, enrollments, and reports always follow this session. Change it from the Session menu when a new year starts.
Know your role
Admin sees most modules. Accountant mainly works with fees. Teacher often sees students and results only. If a menu is missing, ask your admin to grant permission.
Find any student fast
Use the search box in the app header. Type a name, scholar number, or mobile number, then open the student profile directly.
Dashboard
Your morning overview, a good page to open first each day.
Student & Fee Summary
Colorful boxes show total students, total fees, collected amount, remaining balance, and legacy dues when that module is on.
Period Activity
See fee, bus, hostel, and legacy collections for today, this week, this month, or a custom date range.
Recent Activity
Latest fee deposits and new admissions update when you change the date filter.
What to check on Dashboard each day
- Confirm the active session in the top bar matches the year you are working in.
- Read the summary boxes: total students, fees collected today, and remaining dues.
- Use the date chips (today, week, month) to see school, bus, and hostel collections for that period.
- Scroll to Latest Deposit Fees to see who paid recently without opening each profile.
Students
Every child has one profile, this is the core of the system.
Add a Student
Click + Add Student, fill name, class, board, medium, mobile, and other details. Photo is optional. You can also choose Hostel, Bus, or Dummy Student accommodation when those facilities are on.
Import, Export, ID Cards & Fees
Open the Export dropdown on the Students page for four actions:
- Import Students, Excel wizard with column mapping
- Export Students, pick columns, then download Excel
- Download ID Cards (PDF), printable cards for the filtered class
- Export Fees (Excel), fee status register for the filtered class
Student Profile
One page for everything about a child:
- Basic Info, personal details (including Profile ID, Password, and OTR for 9th+)
- Enrollment, class, section, roll number, session
- School Fees, deposit installments and balance
- Hostel / Bus, when those facilities are enabled
- Legacy Due, old session balances
- Documents, upload files
- Result & SLC, marks, result card, and SLC print or download
From the profile banner you can also use Deposit Fee (one payment for all dues) and WhatsApp to message the parent.
Promote to Next Class
On All Students, tick the students you want, then click Promote. Choose the target session, class, and section. Accommodation (Hostel / Bus / Dummy) can be set in the same step.
Results, Marks & SLC
Enter subject marks, print result cards, share a verification link, and fill or print the School Leaving Certificate (SLC).
Profile ID, Password & OTR
For Ninth and higher classes, the form can show Profile ID, Profile Password, and OTR. Enable them under Settings → Student Form Fields. They stay hidden for lower classes.
Export menu, ID cards and fee Excel
Download student ID cards (PDF)
- Go to Students and filter by class (board, medium, and section if you use them).
- Open the Export dropdown → choose Download ID Cards (PDF).
- The PDF includes photo, name, parents, class, section, medium, DOB, roll, mobile, and address.
- For best print quality, upload student photos and set school headers under Settings → Branding.
Export fees (Excel)
- Filter the student list by class (and board / medium / section as needed).
- Open Export → Export Fees (Excel).
- The file shows Total, Paid, Remaining, Old Due, and Legacy Due (when Legacy Due is on), plus installment amounts.
- If you select All for medium or section, the Excel may split into separate sheets.
This is different from Fees Structure → Export, which downloads the fee plan amounts, not each student's payment status.
Import or export student data
- Import Students, upload Excel → map columns → preview → import.
- Export Students, open the export page, pick which columns to include, then download.
How to add a new student (full flow)
- Go to Students and click + Add Student.
- Fill name, father name, mobile, class, board, and medium. The active session from the top bar is used automatically.
- Optional: choose accommodation as Hostel, Bus, or Dummy Student (when those facilities are enabled). A student cannot be in both hostel and bus in the same session.
- For Ninth and above, fill Profile ID, Profile Password, and OTR if those fields are enabled in Settings.
- Click Add Student. The student appears in the class list.
- Click the student name to open the Student Profile. Here you manage fees, hostel, bus, marks, documents, and SLC.
Dummy Student (custom fee)
- Turn on Dummy Student under Settings → Facility Management.
- On Add or Edit Student, choose accommodation type Dummy Student.
- Set a custom fee amount or percentage of the normal academic fee (default is often 50%).
If this student also uses Hostel or Bus later
You can still enroll from the Hostel or Bus menus after the student exists. Hostel and Bus cannot both be active for the same student in one session.
Hostel student (school child)
- Enable Hostel in Settings → Facility Management
- Go to Hostel → Add from School
- Pick the student, confirm fee (from Settings → Hostel Session Fee)
- Hostel tab appears on the student profile
Bus student
- Enable Bus in Settings, set villages in Bus → Fee Structure
- Go to Bus → Add to Bus, pick class and village
- Bus tab appears on the student profile
Hostel-only student (no school class)
- Use Hostel → Add Hostel Student
- For children who stay in hostel but are not in regular school records
Where to see class and session on profile
- Open student profile → tab Enrollment
- See class, section, roll number, board, medium, and session for each year
- Top banner chips also show current class and session at a glance
Promote students at year end
- On Students, select the students with the checkboxes.
- Click Promote.
- Choose the new session, class, and section (if sections are enabled).
- Confirm accommodation options, then promote.
Academic Setup
Subjects, classes, sessions, and bulk results.
Subject Master
Create subjects like Math, Hindi, Science, and link them to the right class, board, and medium.
Class Management
Add class names, then map each class to a board (MP Board, CBSE, and so on) and medium (Hindi or English).
Section Management
When Section Management is on in Settings, create sections (A, B, C) and map them to classes. Filters on Students, promote, ID cards, and fee export then include section.
Class-wise Marks Entry
Pick class, board, and medium, then fill marks for all students in one grid.
Academic Sessions
Create a new year and mark it as current. New admissions and fees use the active session.
Academic setup order (do once per year)
- Session, create the new year (for example 2026-27) and mark it as current.
- Classes, add or enable classes, map each to board and medium.
- Sections (optional), enable Section Management in Settings, then create and map sections under Classes → Sections.
- Subjects, create subjects and link them to the right class, board, and medium.
- Fees Structure, set installment amounts per class (see Finance section).
- On Students, select students and click Promote at year end to move them to the next class in the new session.
Bulk Results (marks for whole class)
- Go to Bulk Results
- Select class, board, and medium
- Enter marks for all students in one grid and save
- Or open one student profile and enter marks from the marks section
Finance & Fees
Set fees, collect payments, and track accounts.
Set Fee Amounts
Define three installments plus total per class and medium. Export the structure to PDF or Excel when needed.
Global Fee Deposit
One payment that auto-applies in order: Legacy Due → Old sessions → Current (within current: School → Hostel → Bus). A live preview shows where the amount will go.
Module-wise Deposit
You can still deposit from each tab separately (School Fees, Hostel, Bus, or Legacy Due) when you want to pay only that module.
Student Fees Excel
Download a class fee register (Total, Paid, Remaining, Old Due, Legacy Due, installments). Separate from Fees Structure export.
Discounts
When enabled, set discount rules in Settings, apply on deposit, and view the discount report.
Income & Expense
Record school expenses and other income. Filter by date and export to Excel. Hidden unless Cashbook is enabled.
Old Session Dues
Track opening balances from previous years separately from current session fees. Also covered by Global Fee Deposit.
School fees, step by step
Step 1, set fee amounts (once per session)
- Go to Fees Structure in the sidebar.
- For each class, enter Inst. 1, Inst. 2, and Inst. 3 for Hindi and English medium.
- Total fee is calculated automatically. Export PDF or Excel if you need a printout of the structure.
Step 2, collect fee with Global Deposit (recommended)
- Search the student from the top search box, or open Students and click the name.
- On the profile banner due card, click Deposit Fee.
- Enter the amount. The preview shows how it will be auto-applied: Legacy → Old sessions → Current (School, then Hostel, then Bus).
- Confirm date and payment mode, then save. Receipts update across the modules that received money.
Or deposit from one module only
- Open the student profile → go to School Fees, Hostel, Bus, or Legacy Due.
- Click Deposit Fee on that tab, enter amount, date, payment mode, and remark.
- Save. Balance for that module updates at once.
Where to see fee details, remaining, and payment history
On student profile → School Fees
- Total, full fee for current session
- Paid, amount collected so far
- Remaining, balance still due
- Old due, unpaid from previous session in same record
- Payment History table, every deposit with receipt no, date, amount
On Dashboard
- Top boxes show school-wide total, collected, and remaining
- Latest Deposit Fees table shows recent payments
- Change date filter to see today, this week, or this month collections
Students → Export Fees (Excel)
- Class-wise fee register for all students in the filter
- Useful for office printouts and accounts follow-up
- Needs students.export permission
Installment number (Inst 1, 2, or 3) is stored with each payment. You can edit or delete a payment from the history table if your role allows it.
Cashbook, income and expense
Cashbook is separate from student fees. Use it for other school money in and out (donations, stationery, repairs, and so on).
- Turn on Cashbook under Settings → Facility Management.
- Open Cashbook from the sidebar.
- Use the Expense or Income tab at the top.
- Click Add Expense or Add Income, fill date, title, amount, payment mode, and remark.
- Filter by date range. Export to Excel when needed.
Student fee deposits do not need a separate cashbook entry, they are already tracked in the Fees module and on the Dashboard.
Hostel & Bus
Optional modules, they appear only when enabled in Settings.
Hostel Management
Enroll students in hostel, collect hostel fees, promote hostel students, and export records.
Bus Management
Enroll by class, set village or route fees, collect bus installments, and manage villages.
Hostel, add, fees, remove (pull off)
Add a school student to hostel
- Student must already exist under Students (see Students section).
- Go to Hostel → click Add from School.
- Select the student. Hostel fee comes from Settings → Hostel Session Fee (you can adjust per student if allowed).
- After save, the student shows in the hostel list with Total Fee and Remaining Fee columns.
Collect hostel fee and see history
- From hostel list, click the eye (Fees) icon on the row, or open student profile → Hostel tab.
- Top summary shows total, paid, and remaining for the current session.
- Click Deposit Fee, enter amount and save.
- Payment history list shows each deposit with receipt and date.
Remove student from hostel (pull off)
- In the hostel list, click the trash (Remove) icon on that row.
- Confirm. Student is removed from hostel for the current session only.
- Hostel tab on profile hides until enrolled again. School student record stays.
Hostel summary cards at the top of the page show total amount, total collection, and total remaining for all hostel students.
Bus, add, fees, remove (pull off)
Setup bus fees first
- Go to Bus → Fee Structure (or Fees Structure link on bus page).
- Add villages or routes with Inst. 1, Inst. 2, Inst. 3 amounts.
Add student to bus
- Go to Bus → click Add to Bus.
- Pick class, then select students and their village or route.
- Bus list shows Inst-1, Inst-2, Inst-3 status, total fee, and remaining per student.
Collect bus fee and see history
- Click the eye (Fees) icon on the bus row, or student profile → Bus tab.
- See total, paid, remaining, and installment-wise status.
- Click Deposit Fee to record payment. History shows below.
Remove student from bus (pull off)
- In the bus list, use the remove action for that student.
- Student is removed from bus for this session. School and hostel records are not deleted.
If a student is already in hostel this session, you must remove from hostel before adding to bus (and the other way around).
Teacher & Staff
Manage employees, salaries, and class assignments.
Staff List
Add teachers and staff with designation, contact details, and photo. Filter by designation type.
Class Assignment
Map a teacher to specific classes and sections by board and medium.
Salary Payments
Set monthly salary, record payments, and view payment history and reports.
Staff workflow
- Enable Staff in Settings if the menu is hidden.
- Teacher/Staff → add employee with name, designation, mobile, and salary.
- Open staff profile → assign classes and sections by board and medium.
- Pay Salary → record monthly payment, view history and reports.
WhatsApp Messaging
Send messages to parents, one student or many at once.
Create Templates
Write reusable messages in English and Hindi. Use placeholders like {student_name}, {class}, {school_name}. You can attach images too.
Send to One Parent
On the student profile banner, click WhatsApp. Pick a template, choose language, preview, then send. Two modes:
- WhatsApp Web, opens wa.me in the browser
- OpenWA API, sends from the server (needs OpenWA setup)
Bulk Broadcast
Send a template to many students:
- Choose template and language (Auto picks Hindi or English by student medium)
- Send to all students or one class
- Preview recipients before starting
- Messages go in small batches with safe delays
- Track progress, view history, retry failed sends
WhatsApp, typical daily use
- Create templates under Settings → Message Templates (fee reminder, result, admission, and so on).
- For one parent: open student profile → click the WhatsApp button on the banner → pick template → preview → send.
- For many parents: Settings → WhatsApp Broadcast → choose template and class → preview list → start broadcast.
- Track running jobs and past sends in the broadcast history table. Retry failed numbers if needed.
Admin, Roles & Security
Control who can see and do what.
Manage Users
Create login accounts for staff and assign a role: Admin, Accountant, Teacher, or Guest.
Access Control
Choose what each role can do, such as view fees, edit students, or manage settings. Changes apply right away.
Login Logs
See who logged in, from where, and when. End active sessions remotely if needed.
Roles and users, how to set up access
Create a login for staff
- Go to Assign Role → Users tab.
- Click add user, enter name, username, password, and pick a role: Admin, Accountant, Teacher, or Guest.
- Save. Share login details with the staff member.
Control what each role can do
- Go to Assign Role → Permissions tab.
- Tick or untick actions (view students, deposit fees, edit settings, hostel enroll, and so on).
- Save. Changes apply immediately for that role.
Accountant example
- Fees Structure, fee deposit, cashbook
- Dashboard fee numbers
- Usually no access to change school settings
Teacher example
- View students and enter marks
- Bulk Results
- No fee deposit unless you allow it
Settings
School setup, usually done once by the main admin.

Settings you touch most often
- Facility Management, turn Hostel, Bus, Dummy Student, Staff, Cashbook, Legacy Due, Discount, and WhatsApp on or off.
- Academic Configuration, which boards and mediums appear on forms, and whether Sections are used.
- Student Form Fields, show or hide optional fields when adding or editing a student. Tick Profile ID & Password and OTR if your school needs them for Ninth and above.
- Hostel Session Fee, default hostel amount for new enrollments this year.
- Branding, school name, logo, and headers used on result cards, SLC, and ID cards.
Student Form Fields, senior class fields
- Go to Settings → General → Student Form Fields.
- Under ID & Academic Records, enable Profile ID & Password (9th class and above) and/or OTR (9th class and above).
- Save. On Add/Edit Student, those fields appear only when the selected class is Ninth or higher.
Backup & Automated Jobs
For server admins, keeps data safe and broadcasts running.
Database Backup
A scheduled job calls a secret URL twice a day, dumps the database, and emails the SQL file.
WhatsApp Broadcast Processor
When a bulk broadcast is running, a cron job sends the next batch of messages safely each minute.
